Weekly mailbox backups Close
Backups protect the mailbox data stored on our servers. What is included depends on how you configure and use your email apps and devices. The same coverage rules apply to every mailbox plan.
What your backup includes
Microsoft Exchange or OWA webmail: Backups include your complete server-held mailbox—emails, folders, contacts, calendars and associated mailbox data. These are included together automatically; there is no separate selection required.
IMAP: Backups include the email and folders stored on our servers. Contacts, calendars and other information stored only on your computer or device are not included.
POP only: If your email app downloads messages to your device and removes them from our servers, those messages are no longer available for our backups. Our mailbox backup service cannot protect email held only on your device; that data needs a separate backup.
If you use a mixture of connection methods, the same principle applies: data retained in your mailbox on our servers is included; data held only on your devices is not. Some settings and external spam-filtering rules are outside the scope of a mailbox backup.
Each backup is provided as a single PST file. Large mailboxes are not split across multiple files.
Check that your expected data is being backed up
An email appearing in Outlook Classic or another email app does not necessarily mean it has reached our servers. If an app is not working or synchronising properly, messages and other items can exist only on your device and therefore be missing from the server backup.
You are responsible for checking the backup console in your account to verify that backups are completing, and for periodically downloading and opening a backup file to check its contents. Review the backup dates, completion status and file sizes, then check that the downloaded file contains the emails, folders and other mailbox data you expect. A successful status or plausible file size alone does not confirm that all your expected information is present.
Contact Crawfords technical support if backups are failing, anything is missing, or you find a difference between the backup and the information shown in your email app.
Backup timing and reliability
Backups normally run between 10 pm and 5 am , although retries can finish later. Using your mailbox while a backup is running can cause that backup to fail or be incomplete.
This is a best effort service . Backups are generally reliable, but an individual backup can fail, be incomplete or contain corrupted data. A successful, complete or uncorrupted backup cannot be guaranteed. Regularly checking the backup console and periodically inspecting downloaded backups are essential parts of using the service.
History, downloads and availability
Up to six months of weekly backup history , with PST downloads through your account portal, are planned. Backup downloads and live backup enrolment are not available in this preview.
Existing backup downloads remain available for seven days after the agreed end of backup protection .
Your rights under Australian Consumer Law are unaffected.
