Hosted mailbox content
The intended Exchange scope is email, folders, calendars, contacts and supported server-side mailbox preferences. IMAP scope is hosted email and folders. Local-only POP archives and PST files are outside this protection.
History builds after protection starts. Weekly snapshots do not capture every change between snapshots.
A way back to important messages
The planned portal will provide downloadable PST archives. Supported message, folder and mailbox recovery will be confirmed and tested before it is offered, with staff help available. A PST download alone does not establish full-mailbox recovery.
New snapshots stop on the agreed effective end date of backup protection. The seven-day window to download existing backup history starts on that date, even when cancellation was requested earlier. We confirm your actual last download date and an authorised access method so you can save your own copies. After that window, the history is no longer available through the service. Access expiry, active-mailbox deletion and physical backup-copy removal are separate matters; this is not a promise that every backup copy is physically deleted at that time.

Spam filtering developed and managed by us.
MailAnalysis is our in-house email analysis and filtering system, operating across four mail gateway servers. It combines custom filtering with AI-assisted analysis to help identify spam and suspicious messages.
The people who operate the mail platform also manage the filtering. If a legitimate message is being caught, or unwanted email keeps getting through, ask us to investigate.

Google’s larger plans are broader application suites with pooled storage; they are not dedicated 2 TB or 5 TB mailbox allocations. Crawfords offers a maximum of 100 GB per mailbox. Crawfords mailbox prices cover hosting, with optional backups extra.

Is this just for businesses?
No. We host email for individuals, families and businesses. Choose a Private Account for a Crawfords address or a Business Account for your own domain, including a personal or family domain.
Which private email addresses can I choose?
Choose Basic 15 GB, Standard 50 GB or Pro 100 GB at crawfords.co or crawfordsmail.com. Self-service setup is currently down for maintenance.
How much space can I have with my own domain?
The standard own-domain options are 50 GB and 100 GB. Crawfords offers a maximum of 100 GB per mailbox. Choose the mailbox size and billing period during setup.
Is email setup help included?
Yes. Email setup assistance and ongoing email technical support are included. We can help with Webmail, compatible Exchange apps, IMAP and POP. Some apps require a separate software licence.
Moving email
Can I keep my current email address?
If you control the domain, it may be possible to keep the address when changing hosting. An address owned by another provider cannot simply be transferred, although its existing messages may be movable.
Can you transfer my old email?
Yes, migration is a separately quoted paid service. We assess your current service and agree the move before starting. Keep your existing email service and DNS settings in place until the transition is agreed.
Backups
Are weekly mailbox backups included?
They are optional and separately priced. Request weekly snapshots with up to six months of history while protection is active. We confirm availability and supported recovery before activation.
How will I access backups?
A customer portal with mobile two-factor authentication and PST downloads is planned. It is not available yet. Recovery depends on the content in successful snapshots; local-only POP archives and PST files are outside the hosted-mailbox scope.
What happens when backup protection ends?
New snapshots stop on the agreed effective end date. You then have seven days to download existing history and save your own copy. We confirm the last download date and access method with you.

Email privacy and service terms
These are our email hosting arrangements, confirmed 20 October 2026. We confirm your plan, service dates and any separately quoted work with you before setup.
Your email and AI filtering
We do not use your mailbox content to train AI models or make it available to other companies for that purpose.
MailAnalysis uses AI-assisted assessment as a second opinion on suspected spam and some new or unfamiliar email. Selected message evidence may be processed by an external AI provider for that assessment. The results help refine our filtering rules, such as recognising harmful senders or repeated scam patterns. Refining these rules is different from training an AI model.
Your mailbox is hosted on physical servers Crawfords owns and operates in Canberra, with physical access restricted to our staff. This describes mailbox hosting; external assessment and communication with other email providers can involve processing elsewhere.
We use the contact details and message you provide in an enquiry to respond to your request and arrange the service you ask for. Please do not send passwords, verification codes or payment-card details through the enquiry form.
Billing and what is included
All prices include GST. Annual and six-month billing use the same base rate. Any monthly-payment premium is included in the prices shown and listed in your cost breakdown. These are normal full-period amounts. Business customers’ billing aligns with the financial year ending 30 June, including monthly accounts. For monthly business billing, the first period runs from the service start date to the last day of that month; later periods follow calendar months. We confirm six-month period boundaries and renewal dates before setup. Personal and family account dates are confirmed separately. We confirm the first invoice, coverage dates and renewal schedule before setup. Domain registration, software licences and moving existing email are quoted separately.
Email setup help and email technical support are included. Moving existing mailbox content is separately assessed and quoted. Choosing a plan or sending an enquiry does not create a mailbox, reserve an address or start billing.
The planned backup account
A website backup portal is planned, using the mailbox password and mobile two-factor authentication. The primary own-domain account is intended to access backups for all mailboxes on its account; other mailbox logins will access only their own backups. PST downloads are intended. The portal is not available yet. We confirm access, download formats and supported recovery before activation; requesting the add-on does not create portal access.
Cancel anytime. Choose refund or credit.
Cancel with at least one month’s prepaid credit remaining and choose a refund or Crawfords store credit for the full unused balance.
Store credit can be used for jobs, parts and services in our shop or workshop.
Contact us to cancel and agree the service end date. We confirm the unused balance and your refund or credit choice. Cancellation stops future renewals, including monthly payments. If you choose to use the rest of your paid period, access continues until that period ends; if you end sooner, the unused value is assessed from the agreed service end date.
The same offer applies to unused prepaid hosting and backup charges, with at least one month of the cancelled services’ charges remaining. It does not refund completed migration work, used hosting or other services already supplied. Your rights under the Australian Consumer Law are unaffected.
When the account closes
Mailbox content is normally removed when the agreed service period ends. You can request earlier mailbox deletion, which also ends mailbox access. Export or transfer any messages you want to keep before deletion. This describes mailbox content, rather than every billing or filtering record.

We arrange an authorised way to download eligible archives during that window, including if mailbox access has ended. Contact us about earlier deletion. Active mailbox deletion, expiry of download access and removal of backup copies are separate operations.
